Appendix C. Invoice Overview: Columns

Column

Description

Accounting clerk

Shows the person responsible for a document.

Account type

Shows the account type.

  • D for customer accounts

  • K for vendor accounts

Actual workflow ID

Shows the ID of the workflow in which the document is located.

Amount

Displays the sum total of document values, in document currency.

Amount in loc. cur.

Displays the line item amount in the local currency of the company code.

Annotation

Displays the text from the free text field Annotation in the header data of a document.

Attachment

The icons are used to distinguish between two attachments:

  • sap_anhang_XI.png = Opens an XI document in display mode.

  • sap_anhang_WF.png = Opens a workflow document in display mode.

Barcode

Shows the barcode adhered to the image of a document.

Baseline Payment Date

Shows the baseline date to which the cash discount and net due dates refer.

Business Area

Shows the business area of a document.

Cash Disc 1 Due Date

Shows the date on which the first cash discount expires.

Cash Disc 2 Due Date

Shows the date on which the second discount expires.

Classification

Shows values that refer to a specific customer.

Customer-specific values can be used to assign authorizations such as Board.

Clearing date

Shows the date of clearing.

Clearing Document

Shows the document number of the clearing document.

Company Code

Shows the company code of a document.

Completed By

Displays the name of the user who completed a document.

Note: If a document has the status "posted," a value will not be displayed in this field.

Complete name

Displays the full name of the user who last edited a document.

Controlling area

Displays the controlling area.

Creation Date

Shows the creation date of a document.

Creation Time

Shows the time at the creation date of a document.

Creator

Shows the user name of the creator of a document.

Currency

Shows the currency key of the document currency.

Current processing time

Shows how long it has taken to process a given work item.

Customer

Shows the customer number of a document.

Days 1

Shows the number of days within which a payment must be made in order to take advantage of cash discount terms 1.

Days 2

Shows the number of days within which a payment must be made in order to take advantage of cash discount right 2.

Days Net

Shows the period within which payment must be made.

Debit/Credit indicator

Shows the side of the account (S = debit, H = credit) on which the transaction figures are updated

Deletion flag

Shows whether a document has the status Deleted fiori_belegstatus_geloescht.png (SAP Fiori) / belegstatus_tonne.png (SAP GUI).

An X indicates that the document status is Deleted.

Description

Shows the name of the payment term.

Document Complete

Shows whether a parked document has been saved completely.

Document Date

Shows the date of a document.

Document header text

Shows the explanations and/or notes from the user-defined text field Header text in the header data of a document.

Document Number

Displays the SAP document number of a document.

Document Status

Shows the document status of a document.

Document type

Displays the document type of a document, e.g. KR (vendor invoice).

Entry date

Specifies the day on which the accounting document is entered.

FI document number

Shows the FI document number belonging to the MM document.

Fiscal Year

Displays the fiscal year of the document posting.

Indicator

Shows an xSuite internal status indicator.

Input Channel

Displays the channel through which the document of the receipt was received, e.g. A = Scan.

Invoice doc. status

Shows the abbreviation for the status of an invoice, e.g. A = parked .

Invoice type

Shows the type of workflow, e.g. FI = FI workflow.

Last agent

Shows the user who last edited a document.

Last changed by

Shows the name of the user who last edited a document.

Layout

Shows the layout of the list.

The following information can be stored in a layout:

  • Column layout

  • Sorting criteria

  • Filter conditions

Local Currency

Shows the local currency.

Material

Shows the material number of a material-related purchase order.

Material group

Shows the material group of a material-related purchase order.

Name

Shows the name of the business partner.

Net Due Date

Shows the net due date.

The net due date is calculated from the baseline payment date and the maximum number of target days permitted in the payment terms.

Net Value

Displays the net value of the document in document currency.

Number of agents

Shows the total number of agents for a document.

Parked By

Shows the name of the user who parked a document.

Note: If a document has the status "posted," a value will not be displayed in this field.

Payment terms

Shows the abbreviation of the terms of payment of a document.

A terms of payment key can be used to define payment terms in the form of discount percentages and payment deadlines.

Posting date

Displays the posting date of a document.

Process ID

Shows the process ID of a document.

The process ID is assigned by xSuite. The purpose of a process ID is to identify a document throughout the process of workflow-supported document approval.

Processing Status

Shows the processing status of a document.

  • BLANK = Not specified

  • S = Scanned

  • W =  In Workflow

Pur. group

Shows the purchasing group of a document.

Record

Shows the record number of a document.

If you wish to see the document in edit mode, click on the number in the Record column.

Record type

Shows the record type of a document.

Reference

Shows the reference number of a document.

Reversal

Displays the document number of the cash discount document with which the displayed document was reversed.

Role

Shows the role that is responsible for the workflow task where a work item is being processed.

Sales Order

Displays the sales order number of a document.

Sales order item

Shows the item number in the sales order.

Scan date

Indicates the date on which a document was scanned.

Scan time

Indicates the time at which a document was scanned.

Scan user

Shows the user name of the user who scanned a document.

Status

Displays the processing status of a work item, e.g. READY.

Status text

Displays the SAP status of a document, e.g. parked.

Task

Shows the task ID of a document.

Tax Amount

Displays the tax amount of a document in document currency.

Tax Code

Shows the sales tax code of a document.

Text

Shows explanations for a document item.

Transaction Code

Combination of alphabetic and numeric characters that encodes a business task.

Type

Shows the work item type of a document within SAP Workflow, e.g. W = dialog work item.

Vendor

Shows the vendor number.

Warning discount

Shows the status of the cash discount period:

  • Red light: The period has already expired.

  • Yellow light: The deadline is about to expire.

  • Green light: The deadline has not yet expired.

Work item ID

Shows the internal identification number of a work item.

Work item text

Shows a short description of the workflow task in which a work item is located.

XI Process ID

Shows the process ID of an xSuite Interface document.

xSuite Interface Application

Shows the interface application in which the document was created.
