Setting a legal hold for documents
Legal holds are required in cases such as when attachments need to be checked by a judge or investigating authorities. You can set a legal hold for one or more documents. Documents for which a legal hold is set cannot be edited or deleted during the defined period.
Open the Archive section.
In the sidebar, click on the name of an archive.
➣ The documents in the archive will appear in the hit list.
Click on
ToggleMultiSelect.➣ Multiple selection has now been activated. Checkboxes are displayed in the hit list.
Activate the checkboxes for the documents for which a legal hold is to be set.
Click on
Legal Hold → Set Legal Hold.➣ The Set Legal Hold dialog will open.
Enter an attribute in the Marker field or select an existing attribute.
Notice
Examples of attributes: a file number, the name of a legal dispute, etc.
In the To field, enter a date until which the legal hold is to apply.
Caution
The document cannot be edited or deleted until the specified date.
Click Confirm.
➤ A legal hold has now been set for the documents.
➤ The documents now have the metadata DoNotDeleteBefore and LegalHolderMarker.
