Search options for full-text searches

The following search options are available for full-text searches:

Simple search

For finding entries that contain at least one of the words above.

The space between the search terms corresponds to the OR operator. Whether you use the OR operator or the space in your search, you will have the same search results.

Invoice OR delivery

Will show:

Invoice is correct.

Delivery is correct.

Invoice and delivery are correct.

Will not show:

Invoices are correct.

Invoice correct

Will show:

Invoice correct.

Invoice is correct.

Delivery is correct.

Will not show:

Correct invoices

Phrase search

For finding an exact group of words.

Regarding the syntax: Put the group of words in quotation marks ("...").

"Invoice correct"

Will show:

Invoice correct.

Will not show:

Invoices correct.

Invoice is correct.

AND search

For finding entries that contain all of the words entered.

Syntax: Write AND in capital letters.

invoice AND delivery

Will show:

Invoice and delivery are correct.

Will not show:

Invoice is correct.

Delivery is correct.

NOT search

For finding entries that contain certain words and not others

Syntax: Write AND NOT in capital letters.

Caution

A hyphen is always interpreted as "NOT". Therefore, unless you enclose the entire hyphenated expression in quotation marks, the element on the right-hand side of a hyphen will be excluded from the search. As an example: "in-voice" will only be found if you enter "in", "voice" or "in-voice". With in-voice, "in-voice" will not be found.

Fuzzy search

For finding entries that contain words similar to the words mentioned.

Did you mean: Supplies?

Placeholder search

For finding words or word groups that you only partially know.

Regarding the syntax:

  • An asterisk (*) stands for any number of characters

  • A question mark (?) stands for exactly one character

Ma*er

Will show:

Maler, maker, master, matter, Mailer

Will not show:

Material

Ma?er

Will show:

Maler, maker

Will not show:

Material, master

Soundex search

For finding words that sound similar to the entry.

sail~

Will show:

Fail, mail, sale, sell

Executing a full-text search

A full-text search finds documents by their index fields, attachments, metadata and notes. A full-text search is comparable to a standard search in internet search engines.

In a single archive or in an archive group, you can combine a full-text search with an index field search. For this, the search terms will be linked with AND. Only the documents that match all search terms will be found.

  1. Open the Archive section.

  2. In the sidebar, click on the name of an archive.

    ➣ The documents in the archive will appear in the hit list.

  3. Enter search terms in the Fulltext search field.

  4. Click on prism_archive_suche_icon.png Search or press Enter.

    ➤ The full-text search will be executed.

    ➤ The search results will appear in the hit list.
