Purchase Requisition Workflow

The purchase requisition within the xSuite Procurement workflow is based on the standard SAP purchase requisition.

The purchase requisition is created either automatically based on the information contained in the feeder, or manually by a user.

Notice

The creation indicator shows whether a purchase requisition was created from a feeder or from outside the background role through manual creation. D indicates that a requisition was created through the feeder, and R indicates that a requisition was created manually. In the Procurement Overview, you can show or hide the creation indicator by going to Select LayoutChange Layout.

To create a purchase requisition manually, use the SAP transaction ME51N in the SAP GUI.

Notice

Manual creation of purchase requisitions is only possible in the SAP GUI. In SAP Fiori and in xSuite Web, it is not possible to create a purchase requisition manually.

Depending on the account-assignment category, the following type of information may be required to create a purchase requisition:

  • Cost center

  • Project number

  • Material

  • Quantity

  • Price

  • Vendor

Additional specifications may also be required, depending on the account-assignment category.

Information from the upstream feeder workflow will be transferred at the point of automatic purchase requisition creation.

You can go from the xSuite purchase requisition document straight to the SAP purchase requisition. In display mode, use the Display Document button; in the edit mode, use the Change Document button.

Only SAP users can access the SAP purchase requisition. What is displayed will correspond to specific SAP user authorizations. An SAP user can process the purchase requisition only in the PRET and PRER roles.

After successful approval and release in the purchase requisition workflow, an SAP purchase order will automatically be generated if the required purchase-order information has been provided.
