New Features
MIME-Types: Due to European e‑invoicing legislation, MIME type processing has been extended in the Helix Connector. In addition to PDF and EML, the Helix Connector can now also process attachments with MIME types such as PNG, TXT, ODS, XLSX, JPG, CSV, and DOCX.
Manual upload of attachments using the new MIME types is now also supported.
Changing the Record Type: In the Invoice Monitor, you can now change the record type without having to fill in all required fields beforehand.
Complete Invoice Address: When reading the invoice address and identifying business partners, all address components are now taken into account. This also includes the region specification. For U.S. business partners, the state abbreviation shown in the address line (e.g., ND for North Dakota) is used for unambiguous assignment.
New Roles: xSuite Sphere has expanded to include six new roles. Each role is associated with multiple methods. Assigning a role to a user grants them authorization to perform the actions associated with that role.
Caution
These new roles have global impact on the solution and were not implemented specifically for a single new feature. Therefore, all six roles must be added to role collections in the xSuite BTP cockpit. This ensures that the solution remains functional after deployment. See Assigning new roles in the xSuite Sphere BTP Cockpit.
Once added to role collections, the new roles are assigned to the corresponding users.
The following new roles have been implemented:
InvoiceAppWorkflowAccess
This role allows the user to work with workflows. It checks whether the user is authorized to participate in the respective workflow. When changes occur in an invoice, the corresponding workflow is notified, the workflow status is displayed to the user, etc.
WorkflowCoreActions
This role allows the user to start and delete workflows and to add comments.
WorkflowApprovalActions
This role allows the user to approve or reject items.
WorkflowTemplateMaintain
This role allows the user to update workflow IDs and complete workflows.
InvoiceAppWorkflowUserInfoAccess
This role allows the user to retrieve the list of workflow users.
SchedulerAppTaskRead
This role allows the user to view ready and reserved instances of Scheduler tasks.
Bug Fixes
After posting an invoice with the status Manual posting, the corresponding work item will no longer be displayed in My Inbox.
Once an invoice has been posted successfully, the corresponding work item will be automatically completed. Error messages will no longer appear.
After opening the Change Documents view and clearing the free‑text search, the system now correctly displays the full list of change documents. Previously, the message "no data" appeared; this has been corrected.
After a purchase order is sent and the corresponding invoice is received via xSuite Helix (MM documents), the Document Balance and the line-item details of the invoice are updated automatically as soon as a goods movement has been created. (Previously, users had to click the Check button in the Invoice Monitor to update the Document Balance and line items. This step is no longer necessary.)
The agent determination now offers input help for multiple-condition values.
The input help in the purchase order data proposal no longer displays an error message when it is opened.
In Workflow Task Configuration and Workflow Agent Determination, entering integer values in the corresponding fields is now supported. Saving the configuration no longer causes errors.
When copying a criteria group in the Workflow Criteria-Group Configuration, the criteria group elements are now copied as well.
Upload of Oversized Attachments
Uploading documents that exceed a defined maximum file size is now prevented.
A corresponding error message is displayed, e.g., The document exceeds the maximum size of 50 MB.
The file size of attachments is now shown in the list.
Attachments stored in the xSuite Helix Archive are now correctly transferred to the SAP backend and displayed there.
Under Invoice Interface Customizing → Applications, the storage location for attachments (column Storage for Attachments) is now visible for each application.
Attachments in formats that cannot be displayed in the viewer (e.g., XML, JPG, EML, TXT, XLSX, ODS, CSV, DOCX) can now be downloaded.
PDF documents are displayed in the viewer.
When a document was copied in the Invoice Monitor, the new document (copy) could not be displayed in the viewer. Additionally, no attachments could be sent with the document, not even the document PDF. This error has been fixed. New invoices created by copying are displayed in the viewer again, and their attachments are displayed and can be sent.
The LZB indicator can now be used for company codes in Japan, the Netherlands, Austria, and Belgium.
